General Description:
Under the general supervision of the Director of Information Systems, performs secretarial, record keeping, and reception functions for the Information Systems Department. Prepares computerized graphics and statistics. Maintains the computerized inventory, work order, purchase tracking for the Department and assists with computer projects, including training.
Key Responsibilities:
- Assists Director of Information Systems by performing and documenting various activities and processes to include: project meetings; team meetings; communications/meetings with other departments, business partners, and vendors; graphics and timelines for various projects and initiatives; and research as requested.
- Provides secretarial and analytical support related to the daily operations of the Information Systems Department to include: positive customer relations via telephone and face-to-face; responds to inquiries related to department function and provides assistance or refers to appropriate department resources; sorts/distributes mail daily; prepares reports, statistics, graphics monthly and quarterly’ prepares, maintains and coordinates signatures for purchase requests; prepares, updates, maintains and prints reports for tracking systems in department including work orders, purchases, inventory; preparation and verifications of invoices; committee and work group minutes. Assists with monthly invoices and coding to appropriate GL code to present for signature and authorization for payment.
- Performs as office receptionist, answers incoming calls, vendor calls, and walk-ins providing information and/or assistance as appropriate. Screens Director and IT Mantager calls to ensure smooth operations and positive customer relations.
- Prepares and maintains financial information including capital and operational expenditures and reports variances to Director and IT Managers. Performs the ordering of supplies for department, special orders including printing (e.g. templates, training manuals and materials, etc.)
- Performs payroll functions with the department, including tracking of absences and attendance. Prepares reports of variances for Director and IT Managers. Updates Time and Attendance edits with Stromberg system as needed.
- Assists with research, including Internet, and other projects as assigned. Assists with training classes for users as assigned. Performs other duties as assigned.
- Performs similar or related duties as assigned.
- Knows fire, disaster and safety procedures and regulations as it pertains to the work area
Requirements:
Formal Education
- High School Diploma or GED required.
